How to get website and Google leads into Housecall Pro

Route your website form, online booking and Google Local Services leads straight into Housecall Pro's Job Inbox, tagged by source, with no retyping.

If your website form emails the office, someone has to read it, open Housecall Pro, and type the customer in. That’s five minutes per lead, and it happens whenever someone gets around to it. Google leads are worse, because they live in a separate Google dashboard. This guide gets your website form, your online booking and your Google Local Services Ads bookings landing in Housecall Pro as leads on their own, with the source recorded so you know what’s working.

What you need

  • A Housecall Pro plan. The pricing page lists online booking on Basic ($79/month), Essentials ($189/month) and MAX ($329/month), with lower prices on annual billing.
  • Job Inbox turned on. Housecall Pro’s Lead Form article says Job Inbox must be enabled to receive form submissions.
  • Access to your website, or the email address of whoever manages it. You’ll paste an embed code.
  • For Google: a verified Google Business Profile, a Local Services Ads account with the Google Guaranteed badge, and booking leads enabled in that LSA account. Housecall Pro also says you need its newer online booking version.
  • Optional, MAX only: API access, for anything the built-in integrations don’t cover. Housecall Pro’s Zapier article says Zapier webhooks need a MAX plan and a premium Zapier account.

Step by step

1. Build the lead form

Go to Settings > Leads. Toggle on the fields you want. The options are Last name, Email, Address, Service Details, How did you hear about us?, Frequency and a Custom question. Click Save.

One catch from the help center: every field you add is required. There’s no optional field. So keep it short. For a plumbing or HVAC shop I’d use:

  • Last name
  • Email
  • Address
  • Service Details
  • How did you hear about us?

Leave out Frequency unless you sell recurring service. Each extra required field costs you some submissions.

2. Put the form on your website

In the same settings page, open the Share lead form section and click Copy code. Paste that code on your contact page, or send it to your web person with a note: “Please replace the current contact form on /contact with this embed.” If you use Housecall Pro’s own website product, the help center says the Lead Form is added by default.

Once it’s live, each submission creates a Lead in Housecall Pro, sends you a text notification, and shows up in Job Inbox and in Pipeline under New Lead.

Take the old form down. Two forms means two places to check.

3. Add the online booking button

Online booking is the faster path for simple jobs, like a tune-up or drain clearing, because the customer picks a time. Go to Settings > Booking and open the Online Booking tab. Under available services, pick which Price Book services can be booked online. Set your hours, and choose a booking preference: Flexible Scheduling, Set Specific Start Times, or Manual Booking (the customer picks a service and you call to schedule). Start with Manual Booking if your calendar is unpredictable. Then copy the Book online button code for your website, or the direct link for social media and email. Keep the lead form for anything that needs a site visit or a quote.

4. Turn on Job Inbox integrations

Go to Settings > Job Inbox. You’ll see toggles for each lead source. Housecall Pro lists its own (API leads, Online Booking, Lead Form, Website Chat Bubble) and partners including Angi Leads, Google Local Service Ads, Reserve with Google, HomeServe, Thumbtack and Yelp. Turn on the ones you actually pay for. Most partner integrations need you to have signed up with that partner first.

To work leads, go to Inbox > Chats and select Job Inbox at the top.

5. Connect Google Local Services Ads

Per Housecall Pro’s help center:

  1. Click the gear icon (lower left) and choose Settings.
  2. Choose Booking from the left menu.
  3. Open the Reserve with Google tab.
  4. Click Connect and sign in with the Google account linked to your LSA account.
  5. Grant the permissions it asks for.

Allow up to 24 hours. You’ll know it’s working when a Book online button shows on your Google Business Profile. New LSA leads are created as Leads and show up in the Google inbox inside Job Inbox.

Two things to know. First, booking leads must be enabled in your LSA account, or nothing comes through. Second, Housecall Pro puts LSA and Reserve with Google bookings in the same Google channel. It doesn’t split them, so check your LSA dashboard if you need to know which was which.

6. Switch on the Job Inbox auto-reply

Job Inbox has an AI auto-reply that Housecall Pro says is sent automatically when new leads arrive, using the customer’s details. Turn it on, then submit a test lead to read what it says. If the reply promises anything you don’t do, such as same-day service, fix your service and hours settings before leaving it on.

7. Record the source on every lead

Your form’s How did you hear about us? answer is the simplest source tracking you’ll get. LSA leads arrive already labeled through the Google channel. Pipeline automations can use lead source as a condition, so you can treat Google leads differently from referrals, for example a faster first follow-up.

Once a month, count leads and won jobs by source. Worked example: if Google sends 30 leads and you win 9, and the website form sends 12 and you win 6, the website form is converting better even though it’s smaller. That’s worth knowing before you raise your LSA budget.

8. For everything else: the API (MAX plan)

If you have a lead source with no integration, say a regional lead service that only emails you, the built-in options run out. Housecall Pro’s Zapier app (available on Essentials, Essentials+ and MAX per the help center) only has job triggers and a Create Customer action, not a lead. To create actual leads from outside tools, you need the Housecall Pro public API, which has a Create Lead endpoint and is a MAX-plan feature. That’s a developer job, or a Zapier webhook step if you’re comfortable with it.

Common mistakes

  • Too many required fields. Every field on the Housecall Pro form is required. Five is plenty.
  • Leaving the old contact form up. Leads keep landing in email and never reach Job Inbox.
  • Forgetting booking leads in LSA. The connection looks fine but no bookings arrive.
  • Assuming LSA calls come through. The integration covers bookings. Calls and messages still live in Google’s lead inbox.
  • Never looking at source data. Tracking it is pointless if nobody reads the monthly count.

When it’s worth getting help
