EZLynx: complete quote intake and follow-up on open quotes

Set up EZLynx Consumer Quoting, Sales Center and Automation Center so quote requests arrive ratable and open quotes get followed up on day 2, 5 and 10.

A quote request that says “need auto quote, 2 cars, call me” isn’t a quote request. It’s a phone call you have to make before you can do any work. Then, once the quote is run and emailed, it often sits with no follow-up until the prospect has bought somewhere else. EZLynx can fix both ends. Consumer Quoting collects a full rating application up front, and Sales Center plus Automation Center can follow up on every open quote on a fixed schedule. This guide sets up both, with a producer check before anything priced goes to a client.

What you need

  • EZLynx Management System or Rating Engine. EZLynx’s Consumer Quoting brochure says CQ comes with the EZLynx Management System. There are two versions:
    • Basic CQ: instant quotes, applicants created in EZLynx automatically, email lead notifications.
    • Enhanced CQ: adds an automatic drop-off campaign for incomplete applications, the ability to export incomplete leads into EZLynx, and lets customers adjust coverages and re-quote. EZLynx notes “fees may apply” for some items. Ask your EZLynx rep what your account includes.
  • Sales Center Admin rights to change Sales Center settings.
  • Access to Automation Center (Settings > Automation Center) to build workflows.
  • For Quote By Text: EZLynx’s help says Management System users need the Advanced Package, and rating-only users need the Texting - Enhanced Rating add-on. Your agency’s texting number must also be registered, or texting (and with it Quote By Text) is turned off.

EZLynx doesn’t publish prices for these packages.

Step by step

1. Configure Consumer Quoting so it can rate

The website form is only useful if it can actually produce a quote. Path: Settings > Consumer Quoting, then choose your portal from the dropdown. Work through three tabs:

  1. Rating State: the states you write in.
  2. Carrier Selection: the carriers to rate, per state.
  3. Carrier Defaults: a default for every question.

EZLynx’s help is clear that all CQ carrier logins and all carrier defaults must be set before CQ can return live quotes. If any are missing, you get applicants with no rates. After submission, you choose whether the consumer sees instant quotes or a message saying an agent will be in touch. If your producers want to review every quote before the client sees a price, pick the “agent will contact” option. That’s a reasonable E&O choice for agencies that want a licensed person to explain coverage before price.

EZLynx sends your CQ admin an embed link once the portal is created. Put it behind a “Get a Quote” button on your site.

2. Make phone and email intake match the form

Not every lead comes through the website. For calls and emails, give staff the same field list CQ asks for, so a producer never gets half an application. A simple internal checklist for personal auto:

  • Every driver: full name, date of birth, license number and state, marital status
  • Every vehicle: VIN (or year/make/model), garaging address, use
  • Current carrier, current limits and x-date
  • Accidents, violations and claims, last 5 years
  • Homeowner or renter (for multi-policy discounts)
  • Best phone, email, and whether they agree to receive texts

Put the list in a note template or a printed card by the phone. The texting question matters. The TCPA requires consent before you send automated texts. Record the answer and the date.

3. Turn on Sales Center automation

As Sales Center Admin, open Sales Center settings. On the General Settings tab, the opportunity automation checkboxes are:

  • Create New Opportunities for every new account
  • Create New Opportunities During Quoting when an auto or home quote is run on an account without that line
  • Move Opportunities with Successful Quotes to Quoted
  • Move Opportunities with Unsuccessful Quotes to Contacted
  • Link Policies to Opportunities, which moves the opportunity to Won when a policy is entered or downloaded

Turn all five on. They’re what make the pipeline update itself, and step 4 depends on opportunities moving to Quoted automatically.

Also set New Opportunity Assignment. Pick one Default Producer, or if you have several producers, set it to Admin and use round-robin through Automation Center. On the Producer Notifications tab, choose email, text or in-app notifications so a producer knows the moment a lead lands.

The Recycle from X-Date defaults are 45 days for personal lines and 60 for commercial. Leave them unless you have a reason not to. Lost quotes then come back as New opportunities ahead of the prospect’s next renewal.

4. Build the open-quote follow-up workflow

Path: Settings > Automation Center > Workflows > Create Workflows. Choose the trigger Quoted Status (a Sales Center trigger). Add filters if you want different sequences per line, such as Line of Business = Personal Auto.

Then add actions. Each action has a Day field (0 runs right away). EZLynx’s help notes that Send Email and Send Text Message actions generate after 10 AM Central.

Follow-up 1:

Hi [first name], I wanted to check you received the quote we sent on [date]. Happy to walk through the coverage or adjust anything. Just reply, or call me at [phone].

Follow-up 2:

Subject: Should I keep your quote open?

Hi [first name], I haven’t heard back about your [line] quote. Rates can change, so if you’d like to go ahead, let me know this week and I’ll confirm the price is still good. If the timing isn’t right, no problem. I’ll check back closer to your renewal date.

These two emails don’t state a price or recommend coverage, so they can be approved once as templates. The actual proposal, sent on day 0 by the producer, is the one that needs a licensed person’s review every time.

The History page in Automation Center shows executed and scheduled actions for each workflow. Check it after the first week to confirm emails are going out.

5. Stop the sequence when the prospect answers

Check what happens in your setup when an opportunity moves to Won or Dead partway through a sequence. Do the remaining scheduled actions still fire? I couldn’t confirm this behavior from EZLynx’s public docs. Test it with an internal email address, or ask EZLynx support. If scheduled emails do keep going, have staff move replied-to opportunities to the right status right away, and keep the follow-up emails worded so a late one doesn’t embarrass anyone.

6. Optional: Quote By Text

If you have the package for it, Quote By Text lets a prospect text a keyword to your agency number. The system collects the details by text and returns quotes. EZLynx says the default is the three lowest-priced results. Contact details, risk information and quotes land in EZLynx as a new applicant assigned to your chosen producer.

Since the prospect texts you first, the conversation starts with them. Even so, keep any follow-up texts informational, and honor “stop” replies as the TCPA requires.

7. Review the pipeline weekly

In Sales Center, filter Status = Quoted and sort by date. Anything quoted more than 14 days ago with no note is either a call to make or an opportunity to move to X-Date or Dead. EZLynx requires a note whenever you edit an opportunity, so each move leaves a record.

Common mistakes

  • Launching CQ with missing carrier defaults. Prospects fill in the form and get no rates.
  • Showing instant prices when your producers want to review first. Decide this on purpose.
  • Skipping “Move Opportunities with Successful Quotes.” The Quoted Status trigger never fires.
  • No consent question at intake. You can’t add texting to the follow-up later without it.
  • Marking everything Dead. Use X-Date so the recycle setting brings it back before the next renewal.
